1. Agreement to Terms
These Terms and Conditions ("Terms") govern your use of the CoreGrid Media website (coregrid.site) and the photography and video production services provided by Ed Jaydon Niyukuri trading as CoreGrid Media ("we," "us," "our"). By accessing our website or engaging our services, you agree to be bound by these Terms. If you do not agree with these Terms, please do not use our website or services.
2. Service Description
CoreGrid Media provides professional photography and video production services, including but not limited to:
- Wedding photography and event coverage
- Product photography for eCommerce and marketing
- Corporate photography including headshots and team photos
- Video production and UGC-style content creation
- Photo editing and retouching services
- Video editing and post-production services
Specific services, deliverables, pricing, and timelines will be outlined in individual service agreements or quotes provided to clients.
3. Booking and Deposits
3.1 Booking Process
All bookings are subject to availability. To secure a booking, clients must:
- Complete the contact form or send an inquiry via email or phone
- Receive and review a detailed quote outlining services and pricing
- Accept the quote and agree to these Terms and Conditions
- Pay the required deposit to confirm the booking
3.2 Deposit Requirements
A deposit is required to secure your booking date:
- Standard deposit: 30-50% of total service cost (amount specified in quote)
- Deposits are non-refundable except as outlined in our Refund Policy
- Your booking is not confirmed until deposit is received
- Dates may be offered to other clients until deposit is paid
4. Payment Terms
4.1 Payment Schedule
- Deposit: 30-50% due upon booking confirmation
- Final payment: Remaining balance due before or upon delivery of final edited content
- For editing-only services: Full payment may be required before work begins
4.2 Payment Methods
We accept the following payment methods:
- Bank transfer (preferred for UK clients)
- PayPal
- Credit/debit card
- Other methods may be arranged by prior agreement
4.3 Late Payments
Final content delivery will be withheld until full payment is received. Invoices not paid within 30 days of issue may incur late payment fees of 5% per month.
5. Cancellations and Rescheduling
5.1 Client Cancellations
If you need to cancel your booking:
- More than 30 days before service date: 50% of deposit refunded
- 14-30 days before service date: 25% of deposit refunded
- Less than 14 days before service date: No refund, deposit forfeited

5.2 Rescheduling
Rescheduling requests:
- Must be made in writing via email
- Rescheduling more than 30 days before service: No additional fee if alternative date is available
- Rescheduling 14-30 days before service: May incur rescheduling fee if alternative date has lower availability
- Rescheduling less than 14 days before service: Treated as cancellation subject to cancellation policy
5.3 CoreGrid Media Cancellations
In the unlikely event that we must cancel your booking due to illness, emergency, or circumstances beyond our control, we will:
- Notify you as soon as possible
- Offer to reschedule at no additional cost
- Provide a full refund if rescheduling is not possible
6. Client Responsibilities
6.1 Information and Communication
Clients are responsible for:
- Providing accurate and complete project information
- Responding to emails and messages in a timely manner
- Notifying us immediately of any changes to plans, locations, or requirements
- Providing necessary contact information for venue coordinators or other relevant parties
6.2 Permissions and Access
Clients must ensure:
- All necessary permissions are obtained for photography/video at locations
- Access to locations is provided as agreed
- Any required releases or consents from individuals being photographed are obtained
- Venue coordinators and relevant parties are informed of our attendance
6.3 Venue and Conditions
For in-person shoots, clients should provide:
- Adequate lighting or access to power for lighting equipment
- Reasonable working space and conditions
- Advance notice of any restrictions or limitations at venues
7. Deliverables and Turnaround Times
7.1 Standard Turnaround Times
- Wedding photography: 4-8 weeks from event date
- Product photography: 1-3 weeks from shoot date
- Corporate photography: 1-2 weeks from shoot date
- Video production: 2-4 weeks from shoot date
- Photo editing (editing-only service): 5-10 business days
- Video editing (editing-only service): 2-3 weeks
Specific timelines will be confirmed in your service agreement.
7.2 Rush Service
Expedited delivery is available for an additional fee:
- Rush turnaround: 50% faster than standard (subject to availability)
- Rush fee: 25-50% additional charge depending on project complexity
- Rush service must be requested and agreed upon before work begins
7.3 Delivery Format
- All final content delivered digitally via secure download link
- High-resolution files suitable for print and web use
- Files organized and clearly labeled
- Download links remain active for 30 days (please download promptly)
7.4 Backup and Retention
We retain final edited files for 90 days after delivery. After this period, files may be deleted from our systems. Clients are responsible for backing up their own copies of delivered content.
8. Intellectual Property and Usage Rights
8.1 Copyright Ownership
CoreGrid Media retains copyright ownership of all photographs and videos created during service provision. Upon full payment, clients receive a license to use the delivered content as outlined below.
8.2 Client Usage License
Upon full payment, clients receive a non-exclusive, perpetual license to use the final edited content for:
- Personal use (weddings, personal projects)
- Business use (product photos, marketing, websites, social media)
- Printing and reproduction for intended purposes
- Sharing on social media and digital platforms
8.3 Restrictions
Clients may not:
- Claim copyright ownership of the content
- Resell, license, or distribute photos/videos to third parties for profit
- Significantly alter, manipulate, or edit images without permission
- Remove watermarks or copyright information (if present)
- Use content for illegal, defamatory, or inappropriate purposes
8.4 CoreGrid Media Portfolio Usage
CoreGrid Media reserves the right to use final photographs and videos for:
- Portfolio display on website and social media
- Marketing and promotional materials
- Advertising and business development
- Awards and competition entries
Clients may request exclusion of specific images from public sharing by notifying us in writing before or immediately after the service. Complete exclusion may be arranged for an additional fee.
8.5 Raw Files
Raw, unedited files and rejected images remain the property of CoreGrid Media and are not provided to clients. Raw files may be available for purchase at an additional cost by prior arrangement.
9. Liability and Limitations
9.1 Force Majeure
CoreGrid Media is not liable for failure to perform services due to circumstances beyond reasonable control, including:
- Severe weather conditions
- Natural disasters
- Illness or medical emergencies
- Transportation failures or accidents
- Equipment failure despite proper maintenance
- Government restrictions or venue closures
In such cases, we will offer rescheduling or a full refund of payments made.
9.2 Service Limitations
While we use professional equipment and expertise, photography and video outcomes depend on factors including:
- Lighting conditions at venues
- Weather conditions (for outdoor shoots)
- Subject cooperation and availability
- Venue restrictions and access limitations
We commit to delivering professional-quality work but cannot guarantee specific results or outcomes.
9.3 Equipment Failure
We use backup equipment when possible to minimize risk. However, in the event of catastrophic equipment failure preventing service delivery, our liability is limited to refund of fees paid.
9.4 Limitation of Liability
CoreGrid Media's total liability for any claim arising from services provided shall not exceed the total amount paid by the client for those specific services.
9.5 Client Property
CoreGrid Media is not responsible for loss, damage, or theft of client-provided items including props, products, clothing, or personal belongings during shoots.
10. Content Approval and Revisions
10.1 Review Period
Clients have 14 days from delivery to review content and request revisions if needed.
10.2 Included Revisions
Most services include one round of minor revisions, which may include:
- Color correction adjustments
- Cropping changes
- Minor exposure or brightness adjustments
- Removal of specific elements (if technically feasible)
10.3 Additional Revisions
Additional revisions beyond what is included in the service agreement may incur additional fees based on time and complexity.
10.4 Major Changes
Major changes such as re-editing entire projects, significant stylistic changes, or additional post-production work not originally agreed upon will be quoted separately.
11. Confidentiality
We respect the confidentiality of client projects and information. Details of your project, personal information, and communications will not be shared with third parties except:
- As necessary to provide the services (e.g., payment processors)
- As required by law or legal process
- With your explicit written consent
12. Conduct and Professionalism
12.1 Professional Standards
CoreGrid Media commits to:
- Arriving on time for scheduled shoots
- Conducting services in a professional manner
- Respecting clients, venues, and other service providers
- Maintaining clear communication throughout projects
12.2 Client Conduct
We expect clients to:
- Treat us with respect and professionalism
- Provide a safe working environment
- Ensure guests (at events) do not interfere with our work
- Communicate clearly and respectfully
We reserve the right to terminate services immediately without refund in cases of abusive, threatening, or inappropriate behavior.
13. Third-Party Services
In some cases, we may engage third-party service providers (assistants, specialized equipment rentals, etc.). Any such arrangements will be disclosed to clients. We work only with trusted professionals but are not liable for actions of third-party providers beyond our direct control.
14. Dispute Resolution
In the event of any dispute arising from these Terms or services provided:
- Disputes should first be raised in writing via email to jaydon@coregrid.site
- We will work in good faith to resolve disputes amicably within 30 days
- If resolution cannot be reached, parties may pursue mediation or legal action
15. Governing Law and Jurisdiction
These Terms and Conditions are governed by the laws of England and Wales, United Kingdom. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
16. Changes to Terms
We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting to our website with an updated "Last Updated" date. Continued use of our services after changes constitutes acceptance of the revised Terms. Terms in effect at the time of booking apply to that specific service agreement.
17. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
18. Entire Agreement
These Terms, together with any service agreement or quote provided, constitute the entire agreement between CoreGrid Media and the client regarding services provided.
